Sources of contact information
As a respondent, you have the right to know where your contact information came from in relation to our specific survey. Your contact information may have come from one of three different sources:
- From public sources
- From the client's own database
- From a business directory (e.g., Profinder)
Collection of respondents' personal information
Reputation and Trust Analytics collects data on respondents in three ways:
- Information provided by the respondents themselves, such as survey responses and background information
- Information derived from respondents' background data and survey responses, such as various segmentation data
- The respondent's email address to which the survey invitation was sent
We do not use cookie data in our research, nor do we use the information obtained from it for segmentation purposes.
The types of background information requested in surveys vary. The background information requested may include the following:
- background information on the organization
- gender
- native language
- municipality of residence
- province
- field of study
- the business community
- the state where you work
- position within the organization
- potential party membership
- background information on the organization
Legal basis and purpose of personal data processing
The processing of personal data is based on Reputation and Trust Analytics’ legitimate interest. Personal data is collected only for predefined purposes and only to the extent necessary.
Our practices are based on EU and Finnish legislation.
Recording and processing of responses
Responses are stored in the data collection program’s memory for a specified period, including the email address to which the survey invitation was sent. The data is retained only for as long as is necessary for the purpose for which the personal data is used.
Survey invitations will be sent from: survey.reptrust.com
The data is uploaded for processing without email addresses, meaning that the data being processed is anonymized. The background information provided by respondents is used primarily for analyzing and reporting the survey results. The results are reported to the study sponsor in a format that does not allow individual respondents to be identified. In some cases, we may use artificial intelligence (AI)-based tools to process or analyze responses. Artificial intelligence is used solely to support manual analysis and is not used for automated decision-making that would have legal or other significant effects on the data subject (GDPR Article 22). Data analyzed using AI is processed in accordance with the same data protection principles and practices as all other personal data.
Telephone interviews are not recorded. Individual respondents cannot be identified from the survey results. The clients who commission the surveys use the results to improve their own operations and plan their communications, among other things.
Survey respondents may be offered a small incentive. Respondents will be asked if they wish to receive the incentive. If a respondent accepts the reward, they will be asked for their name and mailing address. This information is stored in a separate database from the survey responses and retained until the rewards are sent.
Protection
Access to the data is limited to those individuals employed by Reputatio and Trust Analytics and its subcontractors whose job duties require the processing of such data. We have ensured that all our service providers comply with data protection laws. The data is protected appropriately: computers and systems are secured with technological solutions. The data is not disclosed to third parties.
The defendant's rights
Participation in research is always voluntary. Respondents have the right to know and review what personal and background information has been recorded about them.
No registration is required to take the survey. No sensitive personal information is collected from respondents.
As a respondent, you have the right to opt out of receiving survey invitations. If you opt out of receiving survey invitations, we will record your information (your name and company) in our opt-out registry. Registry information may be deleted upon request. Requests may be submitted to the email address below or in writing to the company’s office.
If you wish to be removed from our research registry, please send your request totutkimus@reptrust.com.
Changes to this notice
Reputation and Trust Analytics may make changes to this privacy notice and the information it contains.
Reputation and Trust Analytics recommends that registered users review this Privacy Policy regularly to stay informed of any changes that may have been made.
