Legal basis and purpose of personal data processing

The processing of personal data is based on Reputation and Trust Analytics’ legitimate interest. The data collected from customers is used for customer relationship management and marketing purposes.

Data content of the registry

We collect information about customers that is necessary for customer relationship management and marketing, such as the names and contact details of contact persons, as well as order and billing information.

More specifically, the following information is collected about customers and their contacts:

  • Name
  • Email address
  • Travel and/or other phone number
  • Station
  • Organization Information
  • Business ID
  • Organization contact information
  • Order Information
  • Offer Details
  • Billing Information
  • Contact

In addition, customer contact information is collectedin a marketing database, which stores company and contact details.

Standard sources of information


The contact and customer information contained in the registry is obtained when the customer relationship is established and throughout its duration. Personal data may be collected and updated from publicly available sources.

Principles for the Protection of Personal Data and Disclosure to Third Parties

Access to the data is limited to employees of Reputation and Trust Analytics and its subsidiaries, as well as subcontractors necessary for managing customer relationships (e.g., accounting, billing, mailing, etc.), whose job duties require the processing of such data.

We have ensured that all of our service providers comply with data protection laws. Employees who handle customer registry data are bound by confidentiality obligations. The data is protected appropriately: computers and systems are secured with technological solutions. The data is not disclosed to third parties.

Transfer of data outside the European Union or the European Economic Area


Reputation and Trust Analytics usesthe HubSpot service to maintain its customer database.HubSpotoperates outside the EU in the United States, but it is listed on the EU-U.S.Privacy Shieldlist of certified companies and complies with the EU General Data Protection Regulation (GDPR). The HubSpot service maintains the user data mentioned in Section 5. Personal data will not be transferred outside the EU and the European Economic Area (with the exception ofthe HubSpot service mentioned above).

Rights of the Data Subject

In accordance with applicable data protection laws, the data subject has the right at any time to:

  • to obtain information about the processing of their personal data;
  • the right to check what information about him or her has been stored in the registry;
  • request the correction of inaccurate or incorrect personal data and the completion of such data;
  • request the deletion of their personal data.

The data subject must submit a request to exercise the aforementioned right by email or in writing to the company’s office. The data controller may refuse to comply with the request on grounds provided for in applicable law.

Data retention period

Personal data contained in the registry will be retained for as long as necessary to fulfill the purpose for which it was collected, in accordance with this privacy policy.

Deleting Data

The data subject has the right to prohibit the data controller from processing data concerning him or her for the purposes of the marketing register. Such a prohibition may be submitted at any time by email to tutkimus@reptrust.com or in writing to the company’s office.

Personal data may be deleted at the individual’s request to the extent that its retention is not based on a contractual relationship or a legal obligation. Requests may be submitted by email to tutkimus@reptrust.com or in writing to the company’s office.

Changes to this statement

Reputation and Trust Analytics may make changes to this Privacy Policy and the information contained herein. Reputation and Trust Analytics recommends that data subjects review this Privacy Policy regularly to stay informed of any changes that may have been made.
